Refund & Cancellation Policy

Understanding our policies for cancellations, refunds, and travel modifications for both cruises and luxury train journeys

Refund & Cancellation Policy

Cruise Cancellation Policy

At Cruiseway.llc, we understand that plans can change. Our cruise cancellation policy is designed to be fair to both our customers and our business operations.

All cruise cancellation requests must be submitted in writing via email to cancellations@cruiseway.llc or through our online portal. Phone cancellations are also permitted along with the relevant documents.

The effective date of cancellation is the date we receive your written request. Cancellation fees are based on this date relative to your cruise departure date.

Important Note

Some promotional cruise fares or special offers may have different, non‑refundable cancellation policies. Please check your specific fare rules at the time of booking.

Cruise Refund Policy

Refunds are processed according to the following guidelines once a cruise cancellation is confirmed:

  • Refunds will be issued to the original form of payment within 0‑7 business days from the cancellation date
  • Processing fees may apply depending on the timing of your cancellation
  • Port fees, taxes, and government charges are refundable if the cancellation occurs before the cruise departure
  • Pre‑purchased packages (drinks, excursions, etc.) are fully refundable if cancelled at least 48 hours before departure
  • Airfare booked through Cruiseway.llc is subject to airline cancellation policies and may involve additional fees

Please Note

Third‑party expenses (such as flights not booked through us, hotels, etc.) are not refundable through Cruiseway.llc. You must contact those providers directly.

Cruise Cancellation Timeline & Fees

The following table outlines our standard cruise cancellation fees:

Days Prior to Departure Cancellation Fee Refund Amount
90+ days $100 per person Full refund minus fee
89‑60 days 25% of fare 75% of fare refunded
59‑30 days 50% of fare 50% of fare refunded
29‑15 days 75% of fare 25% of fare refunded
14 days or less 100% of fare No refund

Group cruise bookings (8 or more guests) may have different cancellation policies. Refer to your group contract for specific details.

Train Booking Cancellation Policy

We offer luxury and standard train journeys through our partners. Cancellation rights depend on the fare type selected at booking and the operating rail carrier’s conditions, which are incorporated into this agreement.

General Cancellation Rules

  • Flexible / Refundable Tickets: Can be cancelled up to 1‑3 days before departure (varies by carrier) and refunded in full, less any administration fee.
  • Semi‑Flexible Tickets: Cancellation more than 24‑48 hours before departure allows a partial refund (typically 50‑75%), with a fee. No refund within 24 hours or after departure.
  • Advance / Non‑Refundable Tickets: Usually no refund or exchange is permitted after purchase, unless covered by a separate refund protection scheme.

To cancel a train booking, contact us at cancellations@cruiseway.llc or call our support team. Some carriers allow direct online cancellation; we will inform you if this is an option.

Important

If your train ticket is part of a cruise‑and‑rail package, cancellation of the cruise may automatically cancel the rail segment, and combined fees may apply.

Train Cancellation Timeline & Fees

Standard cancellation fees for train tickets (excluding special promotional fares) are as follows. Exact fees depend on the fare type and carrier.

Time Before Departure Refundable / Flexible Semi‑Flexible Advance / Non‑Refundable
72+ hours Full refund 75% refund, fee applies No refund
24‑72 hours Full refund 50% refund, fee applies No refund
Less than 24 hours / after departure No refund (some carriers may issue a partial voucher) No refund No refund

Luxury train packages (e.g., Orient Express, Rocky Mountaineer) have their own cancellation schedules communicated at booking. Additional terms may apply for group rail bookings (10+ passengers).

Train Refund Policy

Approved train ticket refunds are processed to the original form of payment within 14 business days. The refund amount depends on the fare rules and any carrier‑imposed administrative fee (typically $10‑$25).

  • Seat reservation fees are refundable only if the associated ticket is fully refundable.
  • Rail pass refunds (e.g., Eurail, BritRail) are subject to the pass issuer’s terms – usually a 15‑20% cancellation fee if unused and returned within 6 months of issue.
  • Pre‑booked onboard services (meals, lounges) are fully refundable if cancelled at least 48 hours before train departure.

Train Operator Cancellations

If a train is cancelled by the operator, you are entitled to a full refund or re‑booking on the next available service, per the carrier’s passenger rights. We will assist you in processing such requests.

Travel Protection Plan (Cruise & Rail)

We strongly recommend purchasing our comprehensive Travel Protection Plan to safeguard your vacation investment. The plan covers both cruise and train components when purchased as a package.

  • Cancellation coverage for covered reasons (illness, job loss, family emergencies)
  • Medical coverage during your journey
  • Emergency evacuation coverage
  • Cancellation for any reason (CFAR) upgrade available on select plans
  • Baggage and travel delay protection

When you purchase the Travel Protection Plan at time of booking, you may be eligible for a full refund (in cash or future travel credit) if you need to cancel for a covered reason up to the day of departure.

Important

The Travel Protection Plan must be purchased within 14 days of your initial deposit to receive pre‑existing medical condition coverage. Review the plan details carefully for terms and conditions.

Force Majeure Events (Cruises & Trains)

In the event of extraordinary circumstances beyond our control (severe weather, acts of God, war, terrorism, pandemics, strikes, etc.), Cruiseway.llc reserves the right to cancel, modify, or alter itineraries for both cruise and rail journeys.

If we cancel your travel due to force majeure, you will have the option to:

  • Receive a full refund of the fare paid
  • Receive a future travel credit worth 110% of the fare paid, valid for 24 months
  • Transfer to another available sailing or train departure

For separate train bookings, the rail carrier’s force majeure policy also applies, and we will assist in obtaining any compensation due under their conditions.

Modification Policy (Cruises & Trains)

We understand that sometimes you may need to modify your reservation rather than cancel it entirely.

Cruise Modifications

  • Name changes may be subject to a $50 fee per change
  • Date changes made 60+ days prior to departure incur a $50 change fee
  • Date changes within 59 days are treated as a cancellation and rebooking
  • Ship or itinerary changes are treated as a cancellation and rebooking

Train Modifications

  • Date/time changes on flexible tickets: allowed up to 1‑2 days before departure, subject to fee (typically $20‑$40)
  • Changes on semi‑flexible tickets: permitted up to 24‑48 hours before, with a fee plus any fare difference
  • Non‑refundable tickets: no changes or exchanges permitted unless covered by a special waiver
  • Passenger name changes: not generally permitted on train tickets; a new booking may be required

Please contact our customer service team as soon as possible to discuss your modification options.
